METHOD 03 · REVIEW FILE

One proposed lot, one review file, clear limits.

A review file keeps the supplied visual material and observation notes for an enquiry in one place. It is a review aid, not a quotation or commercial commitment.

FILE ANATOMY

Eight fields keep context attached to the observation.

The structure is intentionally compact. Its purpose is to show what was considered and what remained outside the material.

  1. 01Buyer-supplied enquiry reference
  2. 02Visible product identity and sealed format
  3. 03Image and video register
  4. 04Capture, receipt and review dates when known
  5. 05View coverage: shown, not shown or unclear
  6. 06Scoped observation log
  7. 07Unresolved buyer questions
  8. 08Scope and limitations statement

ILLUSTRATIVE RECORD

The conclusion stays no larger than its source.

This example shows the grammar of a record. It does not refer to actual inventory, an existing batch or a completed product inspection.

FILE SEQUENCE

Context moves with the material.

01

Register

List the material supplied for this enquiry and retain its source reference.

02

Observe

Tie each bounded note to a named view and physical location.

03

Date

Keep capture, receipt and review dates separate when they are available.

04

Close the scope

Retain unanswered questions and state what the file does not establish.

COMMERCIAL SEPARATION

A review file does not reserve stock or accept an order.

It does not state price, prove ownership, confirm availability or show that pictured material remains unchanged. Commercial facts belong in direct communication and transaction documents.
