Freshness describes the relationship between visual material and an enquiry. It does not confirm present availability or unchanged condition.
FOUR FILE LABELS
Make the age and purpose of a file visible.
Earlier product references and material prepared for an active request serve different purposes. They should never share the same status label.
Earlier reference
Useful for general product or packaging context only. It is not evidence of a current proposed lot.
Date unavailable
No capture date accompanied the file, so its relationship to the active enquiry remains unresolved.
Refresh requested
Newer material has been requested. This label does not promise that new material will be available.
THREE DIFFERENT DATES
Do not collapse file history into one timestamp.
A review date cannot replace an unknown capture date. When a date is missing, the record should preserve that absence.

When the image or video was created, if known.

Receipt date
When the file entered the business conversation.

Review date
When the supplied view was described for the enquiry.
FRESHNESS RULES
Keep reference material in its proper lane.

Preserve capture and receipt dates separately when both are known.

Never present earlier reference material as evidence of a current proposed lot.

Treat missing identifiers or dates as unresolved context, not as a neutral assumption.

Request newer views when existing material cannot answer the buyer's exact question.
